
Responsibilities
● Payroll data compilation
● FedEx cost tracking
● Receipt entry
● Assist with the clean-up and migration of QuickBooks Desktop to Intuit Enterprise Suite.
● Cash Forecast - weekly/daily management of data
● Monitor and manage finance emails
● Accounts Payable (A/P)

Maintain Cash Forecast

Create an A/P report

Enter vendor invoices into QuickBooks (QB)and update the Cash Forecast with new invoices and paid invoices

Record reimbursable expenses in Smart Suite and send for approval/request payment for approved expenses

Ensure all paid invoices are reflected in QB

Categorize all payment transaction withdrawals by QB Expense / Cost of Goods Sold / etc via SmartSuite
Experience
-
2 - 5 years of experience in administrative bookkeeping

Proficiency in QuickBooks, preferably Online and Enterprise Suite edition

Proficiency in office software (e.g., Microsoft Office Suite) and phone/email systems.

Knowledge of Purchase Order processes and inventory databases is a plus.

Excellent communication (verbal and written), customer service orientation, multitasking, and problem-solving.

Experience handling high-volume inquiries or confidential information (e.g., client details) is beneficial.

Reliability, attention to detail, and the ability to work in a fast-paced environment (e.g., dealing with urgent repair needs).

Bilingual in Spanish a plus.
